When do you set up?
Rent The Occasion has a limited capacity for setups during each shift. We prefer to perform setup activities a day in advance if possible. We prioritize setups based on our availability and the needs of all of our customers. If we commit to set up your event we will ensure the items are set up prior to your event start time. We require completed seating diagrams 7 days prior to arrival to ensure a timely setup and a smooth setup process.
You are liable for the replacement cost of damaged or lost items. A Damage Waiver is available to protect you from damage due to Accidental Breakage. Damage waiver does not cover loss or negligence. The Damage Waiver is an additional fee of 10 percent of your total rental order. You (the customer) are responsible for returning rental items in the same condition in which they were received, except for ordinary wear and tear.
- Coverage for damage due to neglect, abuse, or misuse.
- Specific circumstances NOT covered by the damage waiver:
- Any type of loss of rented items or accessory equipment (hardware, screws, clips, etc.)
- Overloading or exceeding the rated capacity of equipment.
- Operation/use of equipment in a manner different from its intended purpose, or damage resulting from neglect and/or abuse
- Damage caused while transporting in an improper manner (insufficiently secured, open tailgates, on top of vehicles, stacked too high in pickup truck beds, etc)
Where will the delivery items be delivered to?
- If you have a tent we will set up the tent at the install location of your choice established during the ordering process. The additional rental items will be left under the tent unless other arrangements are discussed prior to delivery.
- If we are delivering to an Event Facility or Business, standard delivery must be to a First-floor ground level entrance within 40ft. From the delivery truck. (See Additional Charges Below if 1st Floor Delivery is not feasible)
- For customers opting for self-setup, chairs will be delivered to the nearest threshold to the driveway, i.e. the Garage.
- Backyard Delivery must be disclosed prior to arrival and Additional Fees Apply. Please Call to Coordinate.
Additional Charges:
In cases where delivery impediments are present (e.g., elevators, steps, steep hills, gates, long walks, or narrow doorways) that require manual handling beyond standard dolly delivery, an additional fee will apply. This fee will be based on:
- The number of items being delivered
- The distance, time, and complexity of the delivery due to impediments
